Policy for Hosting a Fundraiser or Virtual Food Drive:
- Third-party fundraising events may not be represented as fundraisers sponsored or hosted by the Food Bank.
- Promotions for the fundraiser should reflect the Food Bank as a beneficiary (e.g. “Proceeds from the Sunnyside Elementary School Carnival will benefit the Food Bank of Contra Costa and Solano”).
- All promotional materials related to a fundraiser benefiting the Food Bank must be reviewed and approved by the Food Bank prior to distribution (e.g. flyers, press releases, tickets, brochures, posters, etc.). (fundraising event proposal link here)
- Any request for the use of the Food Bank logo, name and images must undergo approval.
- All references to the Food Bank in publicity and promotional materials for the fundraiser should use our full and proper name: Food Bank of Contra Costa and Solano.
- Do not leave out Solano or Contra Costa from the name- we love both counties!
- Do not change the color or alter the logo. All brand guidelines must be followed.
- Do not use The Food Bank’s images without giving photo credit to the Food Bank.
- Events involving alcohol and/or tobacco and/or cannabis require prior approval of the Food Bank.
- The event/promotion must comply with all applicable local, state, and federal laws and regulations, as well as the Food Bank’s policies and the Association of Fundraising Professionals’ Code of Ethical Principles.
- All expenses and volunteer resources needed for conducting the fundraiser are the responsibility of the fundraising event organizer.
- The Food Bank will not be liable for any costs or expenses and will not reimburse the fundraising event organizer for the purchase of goods/services.
- The fundraising event organizer should be mindful to keep expenses at a minimum by securing donated goods/services and/or negotiating reduced costs.
- Organizers are responsible for maintaining accounting for the event.
- All donation checks should be payable directly to the Food Bank of Contra Costa and Solano.
- The organizer agrees to inform the Food Bank of any effort to recruit major financial sponsorship to ensure there is no duplication of sponsorship efforts already underway.
- Within 30 days following the fundraiser, organizers should submit funds payable to the Food Bank.
- The organizers are responsible for obtaining any necessary permits and clearances required by local and state government, complying with all applicable laws, and obtain appropriate insurance coverage as necessary.
- The Food Bank cannot be held liable for details associated directly or indirectly with the event, including, but not limited to: expenses, purchases, insurance or liability coverage.
